Six Days After the Demo, the Buyer Signed With Someone Else

"Can we start with 15 seats and add the Pune team in Q1?"
Rohan sent that on WhatsApp at 9:04 pm, two hours after a good demo. Three people on your side saw it. The account executive was boarding a flight. The SDR who booked the call assumed the AE had it. The solutions engineer wasn't on that chat at all.
Nobody replied that night. Six days later, Rohan signed with another vendor.
This post is about that week after the demo, when most SaaS deals are actually won or lost. If you're comparing a Freshsales alternative for SaaS sales teams, or looking at HubSpot or Pipedrive, you'll see where the week leaks, what these CRMs handle well, a checklist your team can use from tomorrow, and where Camrio fits.
How the week after a demo usually goes
Here is Rohan's week, the way it looks from his side.
Thursday, 9:04 pm
He asks about seats on WhatsApp, because that's where he last spoke to your AE. In the CRM, the deal moved to Demo done that afternoon. It still shows the same stage.
Friday
His finance head emails the SDR. "Is there a discount for annual billing?" The SDR answers on email and doesn't log it. The AE never sees it.
Monday
His IT lead calls the solutions engineer to ask about SSO. They agree on a security call "sometime this week". No date goes anywhere.
Wednesday
Rohan has a quote from a competitor that answers all three questions in one email. He signs.
Every person on your team did something reasonable. The buyer still felt ignored, because no single person held the whole conversation.
🚀 Pro Tip: Close every demo with one question: "Who else will look at this before you decide?" Write those names down before you hang up. That list is your follow-up plan.
What Freshsales, HubSpot and Pipedrive get right
These are solid sales CRMs. Stages are clear, reports are easy, and a manager can see the pipeline in one screen.
Freshsales, for example, has a page for SaaS companies that covers a Kanban view of deals, sales sequences, lead scoring and its AI assistant, Freddy AI. Its pricing page lists Growth at US$9 per user a month, Pro at US$39 and Enterprise at US$59, billed annually. HubSpot and Pipedrive also price per seat.
If your deals mostly happen over scheduled calls and email sequences, any of the three will serve you well.
Where the week leaks, in a per-seat CRM
We'll use Freshsales as the example, since its help docs are specific. The same questions apply to HubSpot and Pipedrive.
| What Rohan's side did | Where it landed | What the deal record showed |
|---|---|---|
| WhatsApp to the AE | AE's phone | Demo done |
| Email to the SDR | SDR's inbox, not logged | Demo done |
| Call to the solutions engineer | A note in his head | Demo done |
The stage never changed, so the record looked healthy all week.
WhatsApp is the hardest part to bring in. The Freshsales pricing page lists chat, email and phone, but not WhatsApp. Freshworks' own WhatsApp setup guide connects the channel through the Freshchat admin, and asks for a Meta Business Manager account with a WhatsApp Business Account inside it. Plan for that setup before you promise the team one view of the buyer.
⚠️ Warning: Don't delete or swap your WhatsApp number to "start clean". Freshworks' WhatsApp overview says previous WhatsApp contacts won't appear once the existing number is deleted. Back up the chats first.
What 10 seats cost
On Freshsales Pro, 10 people come to US$4,680 a year at the annual price. Growth comes to US$1,080. Check which plan and product includes WhatsApp before you compare.
Camrio Pro is US$2,102 a year, billed annually, for 10 team members and 10 WhatsApp numbers, as per our pricing page. Meta's WhatsApp charges apply with any tool. Camrio adds 0% markup on them.
🤔 Did You Know? The free allowance for WhatsApp replies changed on 1 October 2026. Meta now gives each business number 1,000 free service messages a month, and charges from the 1,001st. Our post on WhatsApp Business API pricing in India has the details.
A post-demo checklist for this week
You can run this with the tools you already have.
- Name one owner before the call ends. Not "the team". One person who answers anything the buyer sends, on any channel.
- Reply to the first question the same day. Even a short "Yes, 15 seats works. Quote tomorrow at 10." Our post on lead response time shows why the first reply matters most.
- Write the open question on the deal. One line: "Wants 15 seats, Pune in Q1." Not "Demo done, follow up".
- Put a date on every "let me check". If finance or IT has to look, agree on the day, and set the follow-up for it.
- Pull the side conversations in. Ask the SDR and the solutions engineer every morning: did anyone from this account message you?
Where Camrio fits
Steps 1, 3 and 5 are where teams slip, because they depend on people remembering. Camrio takes that part off them.
WhatsApp and email from the same buyer sit in one thread, so Rohan's question, his finance head's email and your internal comments are in the same place. Every conversation has an owner, so the SDR can see the AE owns this one, see that it's still unanswered, and step in while the AE is in the air. Inbox Intelligence keeps a running summary of each conversation: what the buyer wants, a 0–100 purchase-interest score and a suggested next step. "Let me check with finance" can become a follow-up task with a due date, and the attention view lists everyone still waiting on your team. The assistant can draft the reply, and a person approves it before it goes out.
Your pipeline can stay in Freshsales, HubSpot or Pipedrive. Camrio holds the conversations around it. More on that in how your inbox can tell you which lead to chase next.
Rohan's message, answered at 9:15 pm
With one owner and one thread, the SDR on call sees the summary and replies before he logs off.
"Yes, 15 seats to start, and Pune can be added any time. I'll send the annual quote to you and your finance head by 10 tomorrow."
That's one message, sent by the second person who saw it, with nothing to look up.
🔑 Key Takeaway: The week after the demo decides the deal. Give the buyer one owner, answer the first question the same day, and put a date on every "let me check".
Demos earn interest. Replies earn signatures.
